Changes can be addressed by planning ahead. In this sense, Acea is an example of efficiency and organization.
The company responded quickly to the Covid-19 health emergency: it took concrete measures to manage services across the territory and protect its people, both in the field and working from home.
One of the main characters of this story was Federico Achilli, currently working in Acea’s Human Resources area. Federico was among those who coordinated the activities carried out month after month to make sure that the Group never stopped.
“When the pandemic first started, Acea immediately formed a Covid-19 prevention committee, of which I am the secretary”, sayd Federico.
The committee, chaired by the Chief Operating Officer, brought together the representatives of different corporate areas: legal, communication, safety, human resources, IT e business areas.
From the start, the Committee looked at ways to implement Government regulations and make them part of operative solutions, focusing in particular on the most vulnerable categories.
Acea’s approach has been to focus on the present, to provide immediate solutions, but with an eye to the future, to plan for new operating models.
“Acea has always believed in the value of technology. For this reason it has long created a solid infrastructure that, just days before the lockdown, allowed it to set up a VPN system with the capacity to support remote operations: within 48 hours, over 4,000 people were able to start working from home.”
All thanks to the new operating models that the Group started implementing a few years ago, such as remote work, and which turned out to be essential to respond quickly and effectively to the emergency. Also the people played a fundamental role: everyone actively collaborated allowing the new organizational system to work.
A multidisciplinary team created to support the committee’s work took a series of targeted actions to plan the coexistence of work activities from remote and in presence during the summer months.
Working from the office was requested on a voluntary basis and only where necessary. And, of course, all precautions to ensure the health and safety of personnel were put in place.
“We created the app “Acea for You” to make it easy for personnel to fill in self-certifications, which at the time were mandatory to justify traveling from home to work”, explained Federico.
The same app could also be used to book antibody tests – to be carried out on the company premises – and to book a meal or a seat at the canteen.
To facilitate the organisation of the work, “the Service Now platform was introduced, thanks to which each manager can plan the attendance shifts by combining the team needs with the capacity constraints of each building floor," Federico continued.
As the health emergency evolved, the Acea Group has extended its remote working capacity.
This was possible thanks to the work carried out to create an operating model based on flexible work, thanks to which every stage of the emergency can be managed timely and proactively, adapting quickly to new circumstances.
Also in 2022, the Group has kept remote working as the prevalent work mode, mainly for staff with administrative profiles, formalised in the "New Normal" Remote Working agreement, with the aim of preserving people's involvement in the Group identity, skills development, with training delivered remotely, and organisational well-being, through targeted initiatives.
